The Documents tab keeps all of a deal's files in one place. IntellCRE uses these documents to pull in property data and build your marketing materials. You can also attach any of them to your listing website's Deal Vault and control how visitors access each one.
Uploading Documents When You Create a Deal
When you create a new deal with the IntellCRE Assistant, the first step is uploading your data room. Upload every photo and document you have for the property, including anything with property data, comps, underwriting, financials, or market overviews. IntellCRE uses these files to build the deal and your first deck or listing website.
You can skip this step and upload documents later. But if your files are ready, we recommend uploading them here.
The Documents Tab
After the deal is created, all the files you uploaded appear in a table on the property's Documents tab.
You can upload more documents here at any time.
For example, you could add an underwriting model you just received.
When a new document finishes uploading, IntellCRE lets you know if it found data you may want to import. You can choose to import it or skip it. If you upload a comp report and import the data, the comps are added to the deal's Sales Comps or Rent Comps tab automatically.
IntellCRE also adds every marketing asset you generate to your Documents. When you generate a deck in the builder, for example, it appears on the Documents tab when it's done. You can then attach it to your listing website and choose to always use the most recent version.
Adding Documents to Your Listing Website
Any document on the Documents tab can be added to the the Documents section on your listing website (often referred to as a Deal Vault). To do that, set the document's visibility to Listing. You'll also see the documents that are available to attach when you set up and publish your listing.
For each document in the Deal Vault, you can choose one of these access levels:
Free: Anyone visiting the listing website can open or download the document.
Email Required: Visitors must give their email address or phone number before they can open the document.
NDA Auto-Access: Visitors must e-sign an NDA with their email and full name, and their phone number if they choose. Once they sign, they get access to the document right away. You manage your NDA in the platform settings.
NDA Waiting Room: Visitors must e-sign an NDA, and then they're placed in a waiting room. You'll get a notification and see their request in the waiting room, where you can grant or revoke access.
You can use a different access level for each document in the same Deal Vault. For example, you could make a brochure free and put the financials behind an NDA.
Notifications and Analytics
You can set how you get notifications about document activity, and you can customize how those notifications work.
The Analytics tab shows activity for each document, for the whole Deal Vault, and for the entire listing website, including downloads and access activity. You can also see detailed lead analytics, engagement metrics, and traffic sources.
Listing analytics are covered in a separate article.
Coming Soon
Request documents. You'll be able to request missing documents, such as a rent roll or floor plans, from someone on your team or someone outside your company. They'll receive an automated message with a secure upload link. When they upload the file, it's added to your Documents tab and you get a notification.
Share the Deal Vault on its own. You'll be able to share only the Deal Vault with a client or other contact, without sharing the whole listing website. A share link will be available on the listing website's setup screen, whether the listing is published or not.
