How To Use Deal Vault

Deal Vault is IntellCRE's secure deal room solution, built directly into your Listing Websites and Property Websites. It allows you to distribute deal documents, manage NDAs and access requests, capture prospect information, and track buyer engagement—all from within a single platform.

With Deal Vault, prospects can discover your listing, request access to documents, complete any required NDA workflows, and access deal materials without ever leaving the deal website.


How Deal Vault Works

1. Upload Deal Documents

Navigate to the property's Deal Vault and upload the files you want to make available to prospects.

Common examples include:

  • Offering Memorandums

  • Rent Rolls

  • Cash Flow Models

  • Due Diligence Documents

  • Property Photos

  • Marketing Materials

2. Choose Visibility

For each document, select where they appear:

  • Listing Website

  • Property Website

  • Both

This determines where prospects can discover and request access to the file.

3. Set Accessibility

Each document can have its own access settings, allowing you to control exactly how prospects gain access.

Access Type

Free

File is immediately available to view or download.

Email Required

Prospect must provide contact information before access is granted.

NDA Auto Access

Prospect signs an NDA and receives instant access.

NDA Waiting Room

Prospect signs an NDA and submits an approval request. A broker is notified automatically and then must approve access before the file is unlocked. The prospect is notified when they can view the document.

Unlike many traditional deal room solutions, Deal Vault allows permissions to be managed at the individual document level. This flexibility allows you to apply different levels of security to different documents within the same deal, based on the sensitivity of each file.


Engagement Tracking & Analytics

Deal Vault doesn't just distribute documents—it provides visibility into buyer activity.

Track:

  • Who requested access

  • Which documents were viewed

  • Which documents were downloaded

  • Time spent reviewing files

  • Individual prospect engagement

  • Most-viewed deal materials

These insights help identify active buyers and provide valuable intelligence throughout the marketing process.
